Detailed Instructions: Setting Up the UniMailbox

Follow these steps:

  1. Go to https://email.uni-freiburg.de. You will land on the GWDG page of the Academic Cloud.
  2. Enter your future UniMail address in the 'Email/Username' window: <UniAccount>@email.uni-freiburg.de and click on 'next'.
  3. In the next step, the setup 'Albert-Ludwigs-Universität Freiburg' is already pre-selected, which you need to confirm with 'next/continue'.
  4. You will be redirected to the myLogin page and must now authenticate with your UniAccount and password.
  5. Your UniMailbox should now be found in the GWDG database, and you will see the start page of the Open-Xchange web interface. Here, you can access all functions to 'read, write, and sort emails'. Detailed instructions for using Open-Xchange can be found on this page.
  6. Enter your UniMailbox as a contact address in your HISinOne profile (students and enrolled doctoral candidates: (2-K) student-correspondence-tile; doctoral candidates can also mark this email address as (3-K) doctoral student-correspondence-tile).

Using Open-Xchange via Web Interface

This section provides comprehensive guidelines for setting up and using the Open-Xchange web interface, enabling access to email and other productivity tools from any browser-enabled device.

Accessing the Web Interface

To access the Open-Xchange web interface, navigate to https://email.uni-freiburg.de. This address will redirect you to the Academic-ID login portal of GWDG. After successful authentication with the correct credentials and possibly a multi-factor key, you will be automatically redirected to the Open-Xchange web interface.

Web Interface Functions

Upon successful login, the homepage displays all accessible functions of the web interface. This section provides the initial view and navigation tips for using the Open-Xchange web interface efficiently.

Email

Reading, Writing, and Sorting Emails

Access to all emails is directly available from the homepage, with mailbox folders prominently listed in the upper left part. Functions like adding new folders, setting favorites, marking emails as read, and cleaning up emails are accessible through the burger menu. Additional Open-Xchange mailboxes can be added via the “Add mail account” button located beneath the folder structure. For further assistance, click the small question mark icon at the bottom left corner.

Advanced Email Settings

Configurations such as email signatures, filter rules, automatic replies, and forwarding options are accessible through the settings menu, which is opened via the gear icon in the top right corner of the menu bar.

Important Note: Clicking directly on the “Mail” tab will provide options for settings such as automatic replies and forwarding, as shown in screenshots.

Personal Information Settings

You can add personal details like a profile picture or additional contact data through the menu, accessed by clicking on the profile logo or language selection at the top right of the menu bar. Note that the profile logo usually displays the mailbox's initials by default. Adjust these settings in the pop-up menu.

Calendar Features

Accessing the Calendar

The calendar is readily accessible from the menu bar at the top left. The calendar, address book, drive, and tasks are also reachable via the dotted menu at the top left of the menu bar, allowing access to all functions, including those not displayed directly on the bar. Managing Appointments

In the calendar overview, you can create new appointments, share your calendars, or open other calendars.

Sharing Your Own Calendar

You can share your calendar with others through the burger menu, which includes options for calendar sharing. This feature allows you to find and authorize others in the address book appropriately.

Managing Someone Else's Calendar

After receiving a calendar share, the shared calendars are displayed in a new tab directly below your own. You will also receive an email notification indicating that a calendar has been enabled for you. Depending on the permissions set, you can view or edit these shared calendars.

Calendar Display Settings and DAV Synchronization

Currently, the web interface for Open-Xchange is enabled. By the start of the semester or by October 1st at the latest, you will also be able to set up application-specific credentials for mail clients.

Setting up IMAP and DAV in Local Email Clients

Anyone who wants to use emails, contacts, calendars, and tasks with a local email client can do so via the IMAP and DAV interfaces of Open-Xchange. For this, an email client capable of using IMAP and DAV is required.

IMAP is used for retrieving emails, and DAV is used for synchronizing contacts, calendars, and tasks.

For security reasons, setting up local email clients for IMAP and DAV is not possible with the main user's direct login credentials. Application-specific credentials must be created for IMAP and DAV access through the GWDG IDM portal.

Creating Application-Specific Credentials for IMAP

Accessing and Logging into the GWDG IDM Portal

The GWDG IDM portal is accessible via a browser at https://idm.gwdg.de. Please select the tab „Login with Single Sign-On“ and log in with your known credentials. In the second step, you can then create your personal application-specific credentials.

To access the Academic Cloud service, you must accept the terms of use. Please securely save your MFA recovery code or print it out.

Creating Application-Specific Credentials

After logging in and clicking on the profile icon in the top right, you will have the option to navigate to the „Application-Specific Credentials“ page.

You will land on the following page and can now create credentials for the respective application.

You only need to set a description, and by clicking on „Generate Credentials,“ the credentials will be displayed. Changing the credentials later is also possible on this page. To do so, simply set a new password by selecting „Generate New Password“ in the overview of the already created credentials.

The generated usernames always follow the format „u12345.“ These credentials can then be used in the respective application for the IMAP interface.

Creating Application-Specific Credentials for DAV (Calendars, Contacts, and Tasks)

Access via the DAV interface, like the IMAP interface, is not possible using the main user's credentials. Application-specific credentials must also be created for this, but unlike the IMAP credentials, they are not generated through the GWDG IDM portal, but directly via the web interface of Open-Xchange.

To create these, after logging into the Open-Xchange web interface, click on the gear icon next to the profile logo.

In the menu on the left-hand side, after expanding the „Security“ tab, you will find the option „Application Passwords.“

Clicking on this will display all previously created credentials, and you will have the option to create new ones.

With the created credentials, you can now set up applications that support DAV interfaces.
